Buyer resource

Build a clearer office furniture project brief.

You do not need every detail finalised. Start with what you know, mark open items as pending and give each product category enough context to be assessed properly.

Start without a catalogue

One useful brief is better than a folder of unexplained references.

Use this worksheet for a single item, a coordinated office package or an early-stage fit-out requirement. Approximate quantities and incomplete dimensions are acceptable when clearly labelled.

Only share drawings, images or project information you are authorised to provide. Product availability, MOQ, price, lead time, testing, warranty and logistics remain subject to project-specific confirmation.

01

Buyer and project context

Enough context to understand who is buying, where the furniture will be used and who can confirm details.

  • Company and contact person
  • Country, city and project type
  • Buyer role: dealer, fit-out team, designer or end client
  • Preferred communication route
02

Furniture scope

List each category separately so quantities and requirements are not mixed together.

  • Product category and intended use
  • Estimated quantity
  • Preferred dimensions or available space
  • Required functions and accessories
03

Design direction

References help communicate direction, but they do not replace a confirmed specification.

  • Material and finish direction
  • Colours or finish references
  • Drawings, plans or authorised reference images
  • Branding, labelling or packaging requirements
04

Timing and destination

Arrival timing and delivery context are needed before production or shipping feasibility can be assessed.

  • Target sample or approval date
  • Required arrival date
  • Destination city or port
  • Known delivery, access or installation constraints
05

Commercial context

A budget position helps compare relevant options; it does not create a price commitment.

  • Budget range and currency
  • Preferred trade term, if already known
  • Sample expectations
  • Payment or quotation-format requirements
06

Verification requirements

Name the documents or evidence the selected product may need. Suitability is checked product by product.

  • Testing or compliance requirements
  • Inspection or acceptance criteria
  • Warranty and spare-parts expectations
  • Other documents or after-sales requirements

Unknown is a valid status

Write Pending instead of guessing. The purpose of the first brief is to expose the questions that need checking—not to manufacture certainty.

After you send it

A controlled path from requirement to supply review.

The brief starts the conversation. It does not approve a supplier, product, quotation or order.

  1. 01

    Review

We organise what is known and keep incomplete fields visible.

  2. 02

    Clarify

We return the questions that materially affect matching or quotation.

  3. 03

    Match

Relevant supply options can then be explored against the agreed brief.

  4. 04

    Verify

Specifications, evidence and commercial terms are confirmed before commitment.
